This document outlines the automated schedule for the data interface between PeopleSoft and Canvas. This integration automatically synchronizes course, section, and enrollment data to Canvas based on the academic term dates defined in PeopleSoft.

Overview

The interface runs automatically throughout the year. Data is refreshed every hour; the system creates files at :45 past the hour, and Canvas picks up these files on the next hour.

Access and Enrollment Timeline

The timeline for data synchronization is determined by the term start date defined in PeopleSoft:

  • 90 Days Before Term Start:

    • Courses and Sections: Creation process begins for all graded class sections (excluding specific exceptions such as applied music, co-ops, and internships).
    • Teacher Enrollments: Faculty enrollments are pushed to Canvas to allow for course preparation.
  • 14 Days Before Term Start:
    • Student Enrollments: Student access and enrollment data are pushed to Canvas.
  • 7 Days Before Class Start (Access Window Start):
    • Courses become accessible to students based on the calculated start date (Class Start Date minus 7 days).
    • Courses must be Published for students to be able to access course content.
    • If Faculty would like students to access the course prior to the access window, they can do so by updating the Course and Term access dates in Canvas. 
  • Term End Date + 28 Days (Access Window End):
    • Course access remains open until 28 days after the official term end date.
  • Post-Term:
    • After the last day of the term, the interface stops sending new course, section, and enrollment data. The course remains active in Canvas, but no further automated updates are pushed for that term.

Important Notes on Access

  • Affiliation Requirements: Access is granted to individuals with a valid campus community affiliation (e.g., Faculty, Staff, Student) provided they have a valid Puget Sound email address.
  • Incomplete Grades: The automated interface does not handle extended access for students with incomplete grades. If an instructor needs to provide extended access for these cases, it must be handled manually by the instructor within Canvas.
  • Eligibility: Only graded classes are processed through this interface. Non-graded classes (such as labs and discussions) are generally excluded unless specifically configured otherwise.
